3 Considerations for a More Successful Box Implementation with Increased User Adoption

SaaS has taken over. Over 70% of organizations use at least one cloud-based application and that percentage is only likely to grow. However, SaaS implementations and migrations require alignment to cloud strategy as well as concerted change management to drive adoption and be successful.

Box, a leading cloud enterprise content management (ECM) application, is an example of a feature-rich SaaS provider. The idea behind Box is to make it easier for enterprise employees to share, edit and collaborate with each other as well as outside vendors and partners on documents and data (files, documents, videos, images, records, etc.) in the Cloud. When implementing new ECM technology, it’s important to understand what document management tools the organization is already using and what business use cases those tools solve for workers. ECM technology likely sits alongside other technology with similar or overlapping functionality. If the ultimate objective is to boost productivity while also reducing the amount of redundant technology, you need to be sure that you are providing for workers’ needs, help them migrate data and workflows to the new technology, and eliminate competing and unnecessary products.

2) Champion Change 
Humans are naturally programmed to resist change. To ensure success, it’s important to sell the future vision. What functionality are workers going to have with Box that they didn’t have before? How will workflows improve? How will IT administration be simplified? How will company information be more secure? What integrations can workers expect and how will those integrations improve productivity and success for everyone? Securing buy-in and adoption of new tools requires ongoing communication about how those tools are going to make work easier and life better for employees.

3) Transform the Culture
Everyone is talking about Digital Transformation, and although definitions vary, it is widely acknowledged that every businesses must become digital to some degree, both to meet the expectations of customers and also the needs of the workplace. Cloud-based content management tools like Box can aid in digital transformation, but implementation of the tool and migration of the content is not enough. Businesses that really want to compete digitally need to transform their cultures by insisting on adoption, providing training at both the worker and management level, and sharing success stories of worker innovations that results in greater efficiency, productivity, and satisfaction.
